Contingent and Hourly-Paid Student Employees


This topic explains how to enter time worked in Axess Timecard for Contingent and Hourly-Paid Student Employees.


Steps:

  1. Contingent and hourly-paid student employees are required to report time worked each pay period.

     

    Stanford has two pay periods each month:

     

    Pay Period........................................                                        Entry Deadline

    1st - 15th of the month......................                      Enter time by the 15th

    16th - last day of the month...............               Enter time by the last day of the month

     

    Time must be entered by the deadline or your paycheck may be delayed.

     

     

    To enter your time worked, login to Axess at https://axess.stanford.edu

    Click the Login button.

  2. Type your SUNet ID / Password and click the Login button.

  3. Click the Timecard hyperlink to access your timecard for the current pay period.

  4. The Timecard page opens for the current pay period.

  5. If your department administrator has set up a schedule for you, click the Apply Schedule button if you wish to populate your timecard with your schedule.

  6. Enter your In and Out times for the days that you worked during the pay period.

     

    As a shortcut, enter military time to report your hours.  Ending zeros :00 can be excluded.  For example, enter '13' to report a work time of 1:00PM.

  7. Tab to move from cell to cell.

  8. Repeat, as necessary, until all of the days of your timecard reflect accurate In and Out times.

  9. A PTA, the Stanford account to be charged for your hours, is displayed on each row of your timecard.

    If instructed by your supervisor or department administrator to change the PTA, click the magnifying glass icon next to the PTA field.

  10. The Look Up PTA page is displayed. Click the link for the appropriate PTA.

  11. Click the Apply Rules button to view your daily and pay period totals.

  12. The Punch Total field is populated with your daily totals.

  13. The Payable Time Summary section is updated with your pay period totals.

     

    To make a correction to your timecard, enter the change then click the Apply Rules button again.

  14. When you have completed your entries, click the Submit and Approve button to submit your timecard, certifying that the entries are accurate.

  15. The Timesheet Submit Confirmation is displayed. Click the Ok button to view your timesheet.

    You can also log out of the system, by clicking the Logoff link.

  16. Other Timecard Navigations

     

    To view your timecard from the previous pay period, click the ‘Previous Timecard’ link.

     

    To view your timecard for a specific range of dates, select ‘Range of Dates’ in the View By field and then enter the start and end dates of the period that you wish to view.  Click the ‘Refresh’ button to view the timecard(s).

  17. To see an audit trail of your entries on the timecard, click the Actions Performed on Timesheet link.

  18. Employees with more than one job with Stanford will see a timecard for each job after clicking the Timecard link.

  19. Select the job for which you wish to report hours.

  20. Click the Next Job >> or << Previous Job links to navigate between the records.

    You must Apply Rules before navigating between records.
