Exempt Employees


This topic explains how to enter leave hours taken in Axess Timecard for Exempt Employees.


Steps:

  1. Exempt employees are required to record leave hours taken and approve their timecard each pay period. The timecard must be approved even if no leave was taken during the given pay period.

     

    Stanford has two pay periods each month:

     

    Pay Period........................................                                        Entry Deadline

    1st - 15th of the month......................                      Enter leave and approve timecard by the 15th

    16th - last day of the month...............               Enter leave and approve timecard by the last day of the month

     

    To enter your leave hours taken login to Axess at https://axess.stanford.edu

    Click the Login button.

  2. Type your SUNet ID / Password and click the Login button.

  3. Click the Timecard link under the Time and Leave section to access your timecard for the current pay period.

  4. The Timecard page is displayed for the current pay period.

     

    Click the scroll bar if you wish to view your leave balances.

  5. Your accrued leave balances are displayed in the Balances section.

  6. Note:  

    Vacation should normally be reported in four hour increments.  Sick time and PTO may be taken in partial day increments.  Holidays are not recorded for exempt employees.  Holiday days should remain blank on the timecard.

  7. If you have taken leave time during the pay period, click the Time Reporting Code drop down menu.

  8. Select the type of leave that you have taken.

  9. Enter the number of hours of leave taken in the Hours field.

  10. Repeat, as necessary, until you have reported all of the leave taken.

  11. Use the + and – buttons to add an additional row, or to delete data from a row, for a given day.

  12. When you have completed your entries, click Submit and Approve to save.

    You may click Submit and Approve as many times as needed throughout

    the pay period as you make entries to your timecard.

  13. The Timesheet Submit Confirmation is displayed. Click the Ok button to view your timesheet.

    You can also log out of the system, by clicking the Logoff link.

  14. Other Timecard Navigations

     

    To view your timecard from the previous pay period, click the ‘Previous Timecard’ link.

     

    To view your timecard for a specific range of dates, select ‘Range of Dates’ in the View By field and then enter the start and end dates of the period that you wish to view.  Click the ‘Refresh’ button to view the timecard(s).

  15. To see an audit trail of your entries on the timecard, click the ‘Actions Performed on Timesheet’ link.
